The Specialist, Events and Social Responsibility will support the planning, coordination, and execution of organizational meetings and events. This role is a key player in ensuring successful internal and external events by handling logistical details, vendor coordination, and on-site support. The Specialist will work closely with the team to contribute to the smooth execution of internal and external meetings.
DUTIES/RESPONSIBILITIES (*ESSENTIAL DUTIES):
COMPENSATION PACKAGE:
The salary range for this role is starting at $65,000-$70,000 on a national basis. Individual pay decisions are based on a number of factors, including but not limited to qualifications for the role, relevant work experience, skillset, internal equity, location, and certifications, consistent with applicable law. Salary is just one part of our total rewards package which additionally includes equity, performance bonus for eligible roles, and competitive benefits.
DUTIES/RESPONSIBILITIES (*ESSENTIAL DUTIES):
- Coordinate logistical aspects for internal and external events, including scheduling, venue research, and catering arrangements.*
- Play a key role in the planning and on-site execution of organizational events.*
- Manage event timelines and ensure all logistical details are confirmed in advance.*
- Liaise with vendors, venues, and service providers to ensure all event requirements are met. Maintain positive relationships with hotel and venue contacts to secure preferred rates and services.
- Ensure all vendor agreements are in place, documented, and executed according to the organization’s standards.
- Play a hands-on role in event setup, execution, and breakdown. Troubleshoot issues on-site to ensure a smooth experience for all attendees, addressing any last minute changes or challenges.*
- Collaborate with team leadership to develop event budgets and track expenditures.
- Provide support for staff travel arrangements, including booking flights, hotels, and transportation for events. Monitor and address travel issues as needed.*
- Draft and distribute event communications, including invitations, agendas, and post-event reports. Maintain clear and consistent communication with internal stakeholders about event logistics.
- Assist with the execution of Truth’s organizational social responsibility volunteer program.
- Bachelor’s degree in event management, hospitality, or a related field, or equivalent work experience.
- 4-5 years of experience in event planning, preferably in a nonprofit setting.
- Demonstrated experience in project management, including planning, executing, and evaluating events.
- Strong organizational and problem-solving skills with a proven track record of managing multiple projects simultaneously.
- Excellent verbal and written communication skills, with the ability to convey information clearly to internal and external stakeholders.
- Strong organizational skills and attention to detail.
- Proficiency in standard office applications.
- Ability to travel up to 15% of the time, including occasional overnight and weekend travel.
- Must be able to lift 25-30 lbs as needed for event setup.
